Inside this story
A growing club with more moving parts than most.
VC Denver serves athletes 18 and under through club volleyball, youth programs, clinics, private lessons, camps, and a new academy program. The club also works alongside Sport Axis, the facility business responsible for the courts.
Corinne Cavender sits in the middle of that operation. She leads youth programming, coaches two teams, manages most of the administrative setup, and handles marketing. That includes registrations, booking links, and program details.
With 26 club teams this year and a small leadership group, every unnecessary task competes with the work the staff actually wants to do.

“We wanted to develop high-quality programs and focus on volleyball things. We did not want our jobs to be messing around on the back end of a software system.”
The software was creating work instead of removing it.
VC Denver had already tried more than one platform. One could not support the court rental side of the business. The next promised a broader solution, but daily work still felt fragmented and hard to trust.
Scheduling lived in one place. Payments lived in another. Court bookings could collide. The bookkeeper had trouble tracing the numbers. Parent emails sometimes failed to arrive, and the team had no clear explanation for why.
The bookkeeping problem was especially persistent. The team could not get a clean, black-and-white view of who had paid or where the money came from. On the facility side, double-booked courts made scheduling harder than it needed to be.
Communication created another layer of uncertainty. Some parents did not receive emails tied to their child’s account. When the team needed help, a simple question could sit unanswered for as long as a week.

When families feel the friction, it becomes the club’s problem.
The administrative strain was already frustrating. Then families started feeling it, too. Corinne remembers the complaints clearly. Staff had to defend a system they did not like while spending more time helping people navigate it.
At the end of club season, the leadership team reached the cleanest possible moment to make a change. They knew another season on the same system would mean more support work, more internal stress, and another year pulled away from the court.
“Families hated it. Hated it. If all of these families hate it and we don’t make a change, that’s a bad look for us.”

They went into the demo looking for the catch.
Owner Mike asked the team to bring him three options. Corinne and Club Director Caiden Cox arrived at the SquadFusion conversation with a list designed to expose the same limitations they had already lived through.
They asked about accounting. They asked about bookings. They asked how the system would handle the crossover between a volleyball club and a court-rental business. Instead of broad promises, Marc walked them through how each workflow would work.
“We figured we would trip him up somewhere. We hounded him with everything we needed, and he was like, “Yeah. Easy.””
The difference was not a polished pitch. It was being shown the practical answer while the question was still on the table. Corinne said Marc explained the why and showed the team the back end rather than asking them to take his word for it.
The support became more hands-on after they signed.
SquadFusion opened a trial soon after the first call, giving Corinne and Caiden room to test the system themselves. Once their remaining website question was settled, the decision moved quickly.
Then the team found a real edge case. VC Denver and Sport Axis use separate bank accounts. At the time, the system supported one connected payment account. Corinne said Marc worked with the product team and added the ability to route programs to either account within about a week.
“It felt like with our last platform, the second we paid, they were like, ‘Cool, we got them.’ The second we signed, Marc was like, ‘Okay, now I go. Now I help.’”
The signals showed up across the whole operation.
The first win was quiet. Revenue started flowing through SquadFusion, and the bookkeeper stopped asking where the numbers came from. Corinne took the silence as a sign that each person’s part of the operation was finally running smoothly.
Before → after
Before SquadFusion
- Payments spread across disconnected processes
- Court scheduling could lead to conflicts and double-booking
- Coaches relied on admins for facility coordination
- Communication issues created frustration for families
- The bookkeeper had difficulty tracing payments cleanly
- Admin work felt stressful and overwhelming
After SquadFusion
- Registration and payments are handled through a more unified workflow
- Coaches can book courts themselves
- Facility scheduling is easier to manage
- VC Denver reported no platform-related parent complaints
- Payments are easier for the bookkeeper to trace
- Corinne described this period as: “Everything’s easy.”
Payments became easier to follow.
Payment plans could run through the system instead of creating a side process for cash, receipts, and manual follow-up. The team could also direct revenue to the correct side of the business.
“We are making them all do it on SquadFusion this year. They will be deducted from their accounts on the 15th.”

Parents and coaches stopped fighting the system.
Corinne reported no platform-related parent complaints after the switch and no repeat of the missing-email problem. Coaches can see their teams and book courts for private lessons themselves.
“We’ve had no coach complaints either. A couple coaches have said, ‘Oh my God, thank God you did that.’”
“This time last year, I was so stressed and underwater. Now people assume I’m going to be stressed, and I’m like, “No. This is the easiest time of year. Everything’s easy.””
What would “everything’s easy” look like for your club?

A bigger season no longer looked like a bigger administrative problem.
VC Denver has more club teams this year, and its youth program keeps growing. Corinne was careful not to hand SquadFusion credit for that. The club grows organically. Recurring youth programs and classes bring new players in, and more of those girls eventually want to play on a competitive club team.
What SquadFusion changed is how easily the club can offer all of it. Recurring programs and classes run through the system. Private lessons and member court bookings at Sport Axis run through it too, so the club can serve its members without confusion. And with the billing backend streamlining the bookkeeping, the club can support more teams for more players.
When strong tryout numbers came in this year, the team could respond with enthusiasm: “Holy cow, so many girls want to try out. Let’s make more teams.”

A club running on volleyball, not workarounds.
Nothing about VC Denver's operation got simpler on paper. More teams, a growing youth program, a facility business running alongside the club, and two separate bank accounts that both need to be handled correctly. The difference is where the work happens now.
Registration, payments, scheduling, communication, and court rentals sit in one system. The bookkeeper can trace every dollar. Parents stopped complaining. Coaches book their own courts. And Corinne, who spent last season feeling underwater, describes this season as the easiest time of year.
The club did not get there by finding the right platform on the first try. They tried other systems, lived with the workarounds, and made the switch at the one moment that made sense: the end of the club season. The decision came down less to a features list and more to who would actually help once they signed.
Questions readers ask about this switch.
How long did the switch to SquadFusion take?
SquadFusion opened a trial soon after the first demo so Corinne and Caiden could test the system themselves. Once the decision was made, both Stripe accounts were connected within about a week.
VC Denver had already tried other platforms. Why switch again?
One platform could not support the court rental side of the business at all. The next covered more, but scheduling, payments, and communication still lived in separate places, and the bookkeeper could not get a clean view of the numbers. SquadFusion brought those pieces into one system.
What if SquadFusion doesn't support something we need?
When VC Denver needed payments routed to two separate accounts and the system only supported one, Corinne flagged it in a call. Marc took it to the product team, and the ability to route programs to either account shipped within about a week.
What changed for parents and coaches?
Corinne reported no platform-related parent complaints since the switch, and the missing-email problem from the old system did not return. Coaches can see their teams and book courts for private lessons themselves.
What does support look like after signup?
The hands-on help VC Denver saw during the demo continued after they signed. When the team hit the two-account edge case, Marc worked with the product team directly and had it resolved within about a week.
